Administrative Assistant

Job Summary

A transportation company is looking for a self-motivated administrative professional who thrives on working in a busy team environment to provide a variety of administrative support services and clerical tasks.

Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

Using your strong attention to detail and problem-solving skills, you will perform duties for our business unit by ensuring reports are processed accurately and on time, and reports are generated weekly.

You must be bilingual and extremely competent with strong attention to detail and excellent communication skills. You have extensive knowledge in all aspects varied administrative functions/responsibilities, standard operating procedures, administration and records management.

To be successful in the role, you possess excellent computer skills, able to multi-task and have the ability to consistently prioritize a heavy workload.

Responsibilities and Duties

  • Answer and direct phone calls
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Processing routing expenses and checking bills for important information
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Handle requests and queries from senior managers
  • Performing other projects as assigned

Position Qualifications

  • Previous experience within the transportation/logistics industry
  • Excellent knowledge of English and French, written and spoken
  • Excellent computer skills and knowledge of Microsoft Office
  • Knowledge of a DispatchMate is an asset
  • Excellent phone communication skills and interpersonal skills
  • Ability to establish and maintain effective working relationships with othersAbility to work effectively, efficiently, and courteously with other staff
  • Must be able to work in a fast-paced environment and meet deadlines
  • Ability to prioritize and organize work effectively with the multi-tasking ability
  • Ability to listen and provide effective and timely feedback
